The Following are descriptions of some of useful standard features of today's Voice Mail systems.


LIVE RECORD
. Allows the user to record his or her current phone conversation by simply touching one of the keys on your phone. The recording can then be reviewed, or delivered to any other user(s) mailbox.
 

OUT DIALING TO CELL PHONESS, PAGERS, OR HOME PHONES. Users may opt to have their voice mailbox notify them when they have a new undelivered message.

BACK DOOR ACCESS. Users may call their Voice MailBox via a dedicated "Back Door" phone number and retrieve their messages from any remote location. They can also call any extension user in their office without going through reception. This will off-load traffic from a busy attendant. The only requirement is a separate phone line for "Back Door Access".

ATTENDANT OVER FLOW. In most cases we recommend that incoming calls be handled by a real person, however Voice Mail's " Attendant Overflow " feature can greet those callers that the attendant can't get to within 3 or 4 rings, with a customized greeting. I.e. "thanks for calling ABC Company, please stay on the line and we will be with you in a moment or if you know the extension number of the person you would like to speak with please dial it at any time."

FULL AUTOMATED ATTENDANT. Some organizations wish to have all their calls answered by an "Automated Attendant". Voice Mail will answer all your incoming traffic with customized greetings and then instantly transfer those calls to the appropriate person or department. You can even have different greetings on different lines.

INTERNAL COMMUNICATIONS. Most people think Voice Mail is used primarily to give outside callers an opportunity to leave detailed messages for individuals within the office. It can also be a very effective communications tool for internal messaging. Users can distribute information to any individual or group of individuals in the office. Users can redirect messages from one mailbox to another and confirm that the message was received. Users can record messages and have them delivered at a later date as a reminder of important meetings, appointments or events. Users can even leave reminders for themselves that can be delivered weeks or months later.

INFORMATION MAIL BOXES. Mailboxes can be set up to simply provide information about your products and services. I.e. "Thanks for calling ABC Company, our offices are now closed. If you would like to leave a message in our general mail box please press "1" if you would like more information about our exciting products please dial "2" if you would like to hear about our weekly specials press "3" or call back during our regular office hours 8 AM to 5 PM Monday through Friday."

AFFORDABILITY. A few years Voice Mail was for only those with $10,000.00 or more to spend. Things have changed. We are installing more and more systems for small businesses with less than 10 telephones. You will be pleasantly surprised to discover how affordable this powerful business tool really is.
